Privacy Policy

The DOT Binder ("we", "us") is a web application that helps motor carriers keep driver, vehicle, and company compliance records. This policy explains what we collect and how we use it.
What we collect
Account information. Your email address, used to sign you in and to send the reminders you asked for.
Compliance records you enter. Company details such as your USDOT number; driver details such as names, dates of birth, license numbers and expiration dates, medical certificate dates, and drug and alcohol program dates; vehicle details such as VINs, plates, and inspection dates; and any files you upload. You are responsible for having the right to store this information about your drivers.
Billing. Payments are processed by Stripe. We store your Stripe customer ID and subscription status. We never see or store your card number.
Usage data. Standard server logs (IP address, browser, pages requested) kept for security and debugging.
How we use it
To run the service, compute your compliance checklist, send you sign-in links and reminder emails, bill your subscription, and respond to support requests. We do not sell your data, use it for advertising, or share it with anyone except the service providers below.
Service providers
Netlify (hosting and file storage), Neon (database), Resend (email delivery), and Stripe (payments). All are located in or serve from the United States and are bound by their own privacy and security commitments.
Security
All traffic is encrypted in transit (HTTPS). Data is stored encrypted at rest by our providers. Sign-in uses one-time emailed links; there are no passwords to leak. Only you can see your company's records.
Retention and deletion
We keep your records for as long as your account is active. You can delete drivers, vehicles, and files at any time. To delete your whole account and all data, email support@thedotbinder.com; we complete deletions within 30 days. Note that federal rules require carriers to keep driver qualification files for three years after a driver leaves, so export what you need before deleting.
Your choices
You can turn off reminder emails by ending your subscription. Sign-in emails are required to use the service. You may request a copy of your data at any time.
Children
The service is for businesses and is not directed at anyone under 18.
Changes
If we make material changes we will email account holders and update the date above.
